This Shipping & Refund Policy applies to all purchases made from CalcAI LLC (“CalcAI,” “we,” “us,” or “our”) through our website, checkout links, invoices, direct messages, email, or any other official sales channel we operate.
By placing an order with CalcAI, you agree to this Shipping & Refund Policy.
1. About Our Products
CalcAI sells modified, upgraded, assembled, programmed, or otherwise customized calculator-related hardware and accessories. Because many of our products are built to order, flashed with firmware, configured, tested, or physically modified after purchase, fulfillment and return eligibility may differ from a standard retail product.
Some products may be:
- Made to order
- Modified after the order is placed
- Preconfigured or software-flashed for the buyer
- Produced in limited batches
- Shipped separately from accessories or other items in the same order
For that reason, estimated fulfillment times may vary by product, batch size, parts availability, testing status, and shipping carrier conditions.
2. Order Processing
Orders are generally processed after:
- payment is successfully received,
- the order passes our fraud/risk checks,
- required customer information is provided, and
- any needed parts, configuration details, or customization selections are confirmed.
Standard processing
For in-stock, non-custom items, processing typically begins within 1–5 business days.
Custom / modified / built-to-order items
For modified calculators, custom assemblies, preconfigured devices, limited-run drops, or backordered items, processing and fulfillment may take longer. Timeframes shown on the product page, invoice, checkout page, order confirmation, or direct written communication are estimates only unless we explicitly state otherwise.
Delays
We may experience delays caused by:
- parts shortages,
- firmware or testing issues,
- quality-control failures,
- shipping carrier disruptions,
- weather,
- customs processing,
- fraud review,
- incorrect customer information, or
- high order volume.
If a material delay occurs, we may contact you using the email address or phone number provided with your order.
3. Shipping Timeframes
Shipping time consists of two separate stages:
A. Processing / fulfillment time
The time it takes us to prepare, build, test, package, and hand off your order to the carrier.
B. Carrier transit time
The time it takes the shipping carrier to deliver the package after it leaves our facility.
Carrier delivery estimates are not guaranteed unless the carrier itself expressly guarantees that service level.
4. Shipping Methods
We may ship using USPS, UPS, FedEx, DHL, or other carriers of our choice unless a specific shipping method is offered and selected at checkout.
We reserve the right to:
- choose the most appropriate carrier,
- split shipments across multiple packages,
- require signature confirmation for higher-value orders,
- upgrade or downgrade shipping methods when necessary, and
- delay shipment if we suspect fraud, unauthorized payment use, or order tampering.
5. Shipping Address Accuracy
The customer is responsible for entering a complete, accurate, and secure shipping address.
Please verify:
- recipient name,
- street address,
- apartment/unit number,
- city,
- state/province,
- ZIP/postal code,
- country, and
- any access instructions.
If you submit an incorrect or incomplete address, your order may be delayed, misdelivered, returned, or lost.
If an order is returned to us because the address provided was inaccurate, incomplete, undeliverable, unclaimed, or refused, we may do one of the following at our discretion:
- charge additional shipping fees before reshipping,
- cancel the order minus shipping/handling and any nonrecoverable costs, or
- treat the item as a return subject to this policy.
6. Risk of Loss / Delivery Responsibility
Risk of loss for physical goods transfers to the customer when the order is handed to the shipping carrier, except where otherwise required by law.
Once tracking shows the package has been handed to the carrier, delivery timing and final handling are primarily controlled by the carrier. We are not responsible for delays caused by:
- carrier routing issues,
- missed delivery attempts,
- porch theft,
- mailroom loss,
- package forwarding,
- customs holds,
- severe weather,
- labor disruptions, or
- other events outside our control.
That said, we will make reasonable efforts to help customers:
- verify shipment status,
- confirm tracking information,
- submit or support carrier claims when appropriate, and
- document loss or damage issues.
7. Tracking
If tracking is available for your shipment, we will generally provide tracking information once the shipping label is created or the package is handed to the carrier.
Please note:
- a label created does not always mean the package is already in carrier possession,
- tracking scans may appear late or out of order,
- delivery dates shown by carriers are estimates, not guarantees.
8. Shipping Insurance
Some shipments may include carrier insurance or declared value protection. Unless expressly stated at checkout or in writing, insurance is not automatically guaranteed for every order.
For higher-value items, we may require:
- signature confirmation,
- insurance,
- adult signature, or
- delivery to a more secure address.
9. International Orders
If we accept international orders, the customer is responsible for:
- import duties,
- taxes,
- VAT,
- brokerage fees,
- customs charges,
- local compliance requirements, and
- any delays caused by customs or border processing.
International transit times are estimates only. We do not guarantee import clearance, local compatibility, or country-specific acceptance of modified electronics.
If an international shipment is refused, abandoned, returned, or destroyed by customs or the carrier, any refund will be limited to amounts we actually recover, minus shipping, duties, fees, and other nonrecoverable costs.
10. Missing, Lost, Stolen, or Damaged Packages
Missing in transit
If tracking has not updated for an unusually long period or your package appears lost in transit, contact us at info@calcai.cc with:
- your order number,
- full name,
- shipping address, and
- a description of the issue.
We may investigate, contact the carrier, or ask you to wait a reasonable additional period before determining whether a replacement or refund is appropriate.
Marked delivered but not received
If tracking shows Delivered but you cannot locate the package, you must:
- check around the delivery location,
- check with household members, neighbors, building staff, or mailroom staff,
- wait a short period in case the carrier scanned it early, and
- contact the carrier directly if needed.
CalcAI is not automatically liable for porch theft or post-delivery loss, but we may assist in documenting the issue.
Damaged on arrival
If your package or product arrives damaged, email info@calcai.cc within 5 calendar days of delivery and include:
- your order number,
- photos of the outer package,
- photos of the shipping label,
- photos of the product,
- and a brief description of the damage.
Failure to provide prompt notice and documentation may limit our ability to file claims or offer a replacement.
11. Cancellations
Before processing begins
Orders may be canceled for a full refund if cancellation is requested before the order enters processing, sourcing, build, flashing, modification, assembly, or packing.
After processing or customization begins
Once work has started, the order may no longer be cancellable. If we allow cancellation after work begins, we may deduct any nonrecoverable costs, including but not limited to:
- payment processing fees where permitted,
- labor already performed,
- custom parts ordered,
- diagnostic/testing time,
- firmware/configuration work,
- packaging costs,
- and shipping costs already incurred.
Orders already shipped
Orders that have already shipped cannot be canceled and must follow the return process below, if eligible.
12. Return Eligibility
Because many CalcAI products are modified, programmed, configured, or custom-built, not all products are returnable.
Unless otherwise required by law or expressly approved by us in writing, the following are generally non-returnable / final sale:
- custom-built calculators,
- modified calculators,
- flashed or configured devices,
- special-order items,
- preorders after the build or sourcing process has begun,
- digital goods,
- downloadable files,
- gift cards,
- software/license-related items,
- clearance/final-sale items,
- and products damaged by misuse, modification, or unauthorized repair.
Eligible returns
A return may be eligible only if:
- the item is returned within 14 calendar days of delivery,
- we approve the return in advance,
- the product is in the same condition received,
- the item has not been abused, altered, opened beyond reasonable inspection, or damaged by the customer,
- all original packaging, accessories, inserts, cables, and included items are returned,
- and the return complies with any instructions we provide.
A return authorization from CalcAI may be required before any item is sent back.
13. Non-Returnable Conditions
A product may be refused for return or only partially refunded if it:
- shows signs of heavy use,
- is physically damaged,
- has been dropped, exposed to moisture, heat, or improper voltage,
- has been opened, tampered with, or modified by anyone other than CalcAI,
- is missing accessories, packaging, or serial labels,
- contains customer-added files or account information not removed,
- or cannot be restocked, resold, or safely reissued.
14. Defective, Incorrect, or DOA Items
If you receive:
- the wrong product,
- a product that is dead on arrival (“DOA”),
- or a product with a verifiable defect not caused by misuse, accidents, unsupported modifications, or customer damage,
contact info@calcai.cc within 7 calendar days of delivery.
At our discretion, and subject to inspection or troubleshooting, we may:
- repair the item,
- replace the item,
- provide replacement parts,
- offer store credit,
- or issue a refund.
We may first require troubleshooting steps, photos, videos, return inspection, or proof of the issue before approving a remedy.
15. Return Shipping Costs
Unless the return is due to our error or a verified defect covered under this policy:
- the customer is responsible for return shipping costs,
- original shipping charges are nonrefundable,
- expedited shipping charges are nonrefundable,
- and shipping insurance for the return is recommended.
If we provide a prepaid return label for convenience, the label cost may be deducted from the refund unless the return is due to our mistake or a confirmed eligible defect.
16. Restocking Fees
Eligible non-defective returns may be subject to a restocking fee of up to 15% if inspection shows the item is opened, used beyond reasonable inspection, missing packaging, or requires cleaning, testing, repackaging, or reconfiguration before resale.
No restocking fee will be charged where prohibited by law.
17. Refund Method and Timing
Approved refunds will generally be sent to the original payment method used for the purchase unless otherwise required by law or agreed by us.
Refunds may be issued:
- after cancellation approval,
- after we confirm a package was not shipped,
- after returned merchandise is received and inspected,
- or after a carrier/loss/damage investigation is resolved.
Please allow a reasonable processing period for:
- internal review,
- carrier confirmation,
- bank/card processing,
- and posting by your financial institution.
Shipping charges, route protection fees, customs charges, taxes, duties, and payment processing fees may be nonrefundable except where required by law or where the refund is due to our error.
18. Chargebacks and Payment Disputes
Before filing a chargeback or payment dispute, please contact us at info@calcai.cc so we have the opportunity to review and resolve the issue.
If a chargeback is filed for an order that was delivered, is still in production consistent with disclosed timelines, or otherwise does not qualify for reversal, we reserve the right to submit documentation to the payment provider, including:
- order confirmations,
- shipment records,
- tracking data,
- customer messages,
- proof of customization,
- and policy acceptance records.
19. Refused Shipments / Unclaimed Packages
If a package is refused by the recipient or left unclaimed, it may be treated as a return. Any refund, if approved, may be reduced by:
- original shipping charges,
- return shipping charges,
- carrier penalties,
- customs charges,
- and any nonrecoverable build or handling costs.
Custom or modified products may remain nonrefundable even if refused after shipment.
20. Fraud Prevention / Order Holds
We reserve the right to delay, hold, cancel, or refuse any order that appears suspicious or high-risk, including where:
- billing and shipping details do not match,
- identity verification fails,
- resale or abuse is suspected,
- payment authorization is incomplete,
- export restrictions may apply,
- or the order appears to violate our terms or applicable law.
If we cancel an order before shipment for fraud or verification reasons, we will generally void or refund the captured payment, subject to payment processor timing.
21. Warranty Disclaimer for Refund Policy Purposes
This Shipping & Refund Policy governs cancellations, returns, shipping issues, and refunds. It does not create a separate product warranty unless CalcAI expressly offers one in writing.
Any troubleshooting, repair, replacement, or goodwill resolution we offer beyond this policy is voluntary unless otherwise required by law.
